Family Night
Date: Volunteers must be aware the this event is hosted the third week of July with a rain date later that same week.
Hosts: This social event requires two to three host families.
Approximate Event Schedule:
- 5:00-6:00pm: Games for kids around the property. Please make use of the space within the fenced in pool area, basketball court, pool deck, grassy area.
- 6:00-6:30pm: Kids Costume Parade with judging and prizes! Random members can judge!
- 6:30pm: Dinner!
- 7:00-7:30pm: Water Ballet
- 7:30-7:45pm: Lifeguard and Tennis Assistant Skit
- 7:45-9:00pm: DJ and Dancing
Planning:
- Decide what theme this event will have. The theme is important as it guides people in decorating their tables and choosing costumes for their kids if they decide to participate in the costume parade.
- Food; In the past we have gotten food trucks or brought in catering. Please be sensitive to pricing in selecting catering. The price of the ticket per member is largely impacted by dinner selection + entertainment.
- Confirm price per ticket with Social Chair.
- Pool and Tennis staff will be running a skit (should align with theme, ~15min) please ask if they will be running water ballet – they should coordinate this piece but they may need help obtaining props.
- Games and Entertainment should be featured throughout the evening. Games can be lawn games, pool games, but the evening should be engaging for families. Entertainment can be magician or some other interactive option.
- Create playlist to run for 4 hours of music or hire a DJ. Regardless, a member MC should be speaking on the mic and keeping the evening moving, on track and organized.
- Create signup genius for event table assignments putting 2-3 families at a table. This ensures that everyone coming to
the event has a place to sit for the evening. - Create a Poster for this event! Make sure the poster reflects the theme and includes all details about the event including: Signup details, date, time, entertainment, etc.. See below for some examples of past Family Night Posters! Provide your complete poster to the Operations Manager
Other things to note:
Operations Manager will connect directly with Orchard Hill Club to staff lifeguards for the event.
This may already be in ink as it’s a Saturday in July that will not interfere with the swim team.
Hosts are responsible for cleaning up and disposing of all the decorations you brought that evening. It will be each families responsibility to clean up the decor and food/drink they bring.
Collect all receipts you have that go with the event. If you used budget money for decor, you will need to fill out a reimbursement form for the treasurer.
